How does pricing work?

There is nothing to pay when you book — creating a shipment is free. Once your package arrives at our facility, we weigh it, then email you the exact price: domestic shipping, international shipping, and the service fee. You pay by weight, not size; if a destination is ever priced on box size, your quote says so before you commit. You pay once in the app, and your package ships. You can review the breakdown anytime in the app — you never overpay.

When exactly do I pay?

After your package is weighed at our facility. We email you the exact price with a full breakdown — domestic shipping, international shipping, and the service fee — and you pay once in the app. Your package ships immediately after payment.

Who can use ShipMate?

ShipMate is for anyone physically in Japan who wants to send purchases home — tourists, business travelers, and foreign residents. You hand your package in at a Japanese post office in person, so you'll need to be in Japan to send. Planning ahead from abroad? You can set everything up before your trip and ship once you arrive. ShipMate is intended for individuals aged 18 and over.

Will you check the contents of my package?

As a rule, we do not inspect the contents of your package. We respect your privacy and ship your package overseas based on the details you provided at the time of booking. However, we may need to check the contents when necessary — for example, if the outer packaging is damaged, if there is a clear discrepancy with your declaration, or if prohibited items are suspected. Thank you for your understanding.

Are there size or weight limits?

Maximum weight per package is 20 kg, and the total of all three dimensions (length + width + height) must not exceed 160 cm. Packages exceeding these limits cannot be accepted.

Do I need to pack the items myself?

Yes. You'll need to pack and seal your package before bringing it to a drop-off location. We do not provide packing services. For fragile items, we recommend using a sturdy box with sufficient padding. We may add reinforcement tape at our facility if needed.

Where can I buy shipping boxes?

Shipping boxes are available at post offices, Yamato Transport locations, Tokyu Hands, DCM, and other home improvement stores.

What if my package is lost or damaged?

Loss or damage during international shipping is handled through the carrier's compensation program (Japan Post and other partner carriers). If something happens, please contact ShipMate support first — we'll guide you through filing a claim with the carrier. If anything happens while your package is being held at our facility, we'll take care of it on our end.

Can I track my shipment?

Yes. You can track your shipment in real-time from the dashboard at go.shipmate.jp.

How long does delivery take?

We ship with Japan Post's EMS (Express Mail Service). If a different courier is used for your destination, your quote says so. Delivery times are estimates and may vary depending on the destination country and customs processing.

Will I have to pay customs duties or import taxes?

For most destinations, customs duties or import taxes may apply when receiving your package. Those are the recipient's responsibility and are not included in our pricing — the final price we quote covers shipping and service fees only. The United States is the exception: US shipments are sent duty-paid. ShipMate pays the US import duty and clearance fees before your parcel leaves Japan and bills them to you at cost with your final balance — nothing to pay at your door, and no service fee on the duty. Typically 14–23% of the value of your items; kitchen knives and steel cookware can run up to about 35%.

What payment methods are accepted?

We accept major credit and debit cards including Visa, Mastercard, American Express, JCB, Diners Club, and UnionPay. Payments are securely processed by Adyen.

How do I cancel my shipment?

Before drop-off, simply don't send your package — nothing has been charged, so there's nothing to cancel or refund. If your package has already reached our facility, please contact support: costs already incurred, such as domestic shipping or handling, may be billed, and we'll arrange the return or disposal of your package.

I'm not in Japan. Can I still use ShipMate?

Yes — that's what Shop for Me is for. Tell us where the box is going, paste links to what you want from Japanese online stores, and we buy each item on your behalf. Everything is delivered to our warehouse in Japan, combined into one box, and shipped to your door. You never need a Japanese address, a Japanese card, or a word of Japanese.

Which Japanese stores can you buy from?

Almost any Japanese online store with a normal product page — big retailers, specialist shops, brand stores. Paste up to 20 links per order. Auction and person-to-person marketplaces are the exception: Mercari, Yahoo Auctions and similar sites are not supported, because we can't guarantee the item, the seller, or the timing. If a link isn't supported we tell you the moment you paste it, not after you've paid.

What does Shop for Me cost?

The items at their store price, plus a 10% service fee on the item total — minimum ¥500, maximum ¥18,000 per order. That's what you pay when you place the order. Shipping is separate and comes later: once your items have arrived and we've boxed and weighed them, we email you the shipping cost and you pay it once. Import duties and taxes in your own country are not included and are usually collected on delivery — except for the United States, where we pay the import duty before dispatch and bill it to you at cost with that shipping payment.

What if an item is out of stock or can't be shipped?

We check every item before you pay, not after. Each link is read for its real price and checked against your destination's import rules — anything prohibited, restricted or unavailable is flagged and left out of your total, so you never pay for something we can't deliver. If an item turns out to be unavailable only after you've ordered, we refund it in full, including its share of the service fee, and ship the rest as normal.

How much can I order in one go?

New customers have a ¥100,000 cart limit and one order in progress at a time. It's a deliberate starting point: it keeps first orders small while we learn each other. The limit lifts as you order more. Very large orders may also be split across two boxes — you're only charged shipping once.
